As the Diagnostics and Pathology Management Assistant you will be required to skilfully manage specific areas in support to the Director of Diagnostics for focusing effectively on strategy implementation and leading the business. You will manage the Pathology Service Level Agreements (SLA) with NHS Trusts ensuring delivered accordingly in line with specific legal requirements and timeframes.
Key General Responsibilities:
- Managing the Director of Diagnostics diary, proactively assessing and prioritising demands on his time whilst taking in to account eleventh hour conflicting business needs.
- Arranging and coordinating diaries with members of the Executive, Imaging and Pathology SMT.
- Coordinating all travel for the Director, correlating to the needs of the business.
- Liaising with peer executive assistants, external customer and key stakeholders, scheduling meetings and addressing any diary conflicts that may arise, in order to achieve the best results for all concerned parties.
- Attending monthly SMT (Pathology and Imaging) meetings for both the Pathology and Imaging remit, acting as secretary. Proactively drive the Agendas, minutes and action tracking through to discharge within a timely manner. Travel where necessary in support of said meetings.
- Supporting the Director of Diagnostics with the coordination, preparation and submission of papers to the Executive Committee.
- In the absence of the Director of Diagnostics monitoring the Inbox, responding to queries and redirecting, where relevant.
- Producing and formatting various documentation, presentations and reports working to agreed deadlines.
- Forging relationships with the Company Secretary’s office in relation to board and executive meetings, papers and legal documents for executive signatures.
- Ambassadorial role comfortable with high level liaison with external business contacts.
- Assisting the Director of Diagnostics and Senior Management Team in establishing and maintaining good relations with all internal and external customers.
- Enabling rapid access to relevant past correspondence, papers and documents by maintaining a well-organised electronic filing system.
- Successfully negotiating with and influencing key decision makers across the business, and externally when required.
- Planning small and large scale conference events from concept to completion on behalf of the Director of Diagnostics and his team.
Contract Management Key Responsibilities:
- Acting as a contract owner ensuring all SLA’s with 3rd party providers, namely UK NHS Trusts, are delivered within the specific timeframes. Forging relationships with the Trusts where able.
- Driving engagement with NHS Trusts and Hospital Directors in respect of the requirements of the Pathology service requirement. Liaising with the Lab Manager as appropriate.
- Drafting and negotiating terms and conditions of the SLA with the respective 3rd party supplier. Involving Spire Legal for advice on specific areas of contention.
- Raising concerns to the Director of Diagnostics, Legal or Commercial where appropriate.
- Transparency and visibility of the SLA status on a monthly basis to the Director of Diagnostics and senior management team – producing a report for the laboratory medicine monthly meeting raising any concerns and risks to the business.
- Communicating internally and externally with the relevant parties to ensure that all are aligned and raise appropriately with the Director of Diagnostics and relevant member of the SMT, any risks or delays.
- Managing the SLA Master spreadsheet updating accordingly thus maintaining an accurate log.
Key Requirements:
- Impeccable organisational skills, attention to detail with the ability to prioritise multiple tasks seamlessly
- Calm under pressure and capable of communicating with all levels in a professional manner
- Competent in taking and producing minutes to a high standard
- Forward thinking and proactive approach to problem solving
- IT literate and a competent user of the MS Office suite of products with excellent keyboard skills
- A good level of education to at least O level/GCSE standard,
- Experience in production and editing of larger papers and reports.
- Customer focus and excellent attention to detail,
- Confident and professional telephone handling and written skills.
The ideal candidate might also have:
- Understanding of basic English law and contract management.
- Pathology or Healthcare experience
- Experience in project or contract management
- Ability to draft and negotiate 3rd party SLA’s through to execution
